Stall Vendor Compliance & Operations Policy

1. Types of Stalls

We allow two primary stall categories at our events:

  • Fashion Stalls
  • Food Stalls

2. Fashion Stalls

  • Venue-Based Acceptance: Fashion stalls will be curated and accepted based on venue size, layout, and the overall stall mix. Management reserves the right to accept, waitlist, or reject applications to avoid overcrowding or repetition.
  • One Category Per Stall: Only one fashion category is allowed per stall (for example: clothing / jewellery / footwear / accessories). Mixed-category stalls (e.g., clothes + jewellery) are not permitted unless specifically approved in writing or via mail.
  • Product Photos & Details: Vendors must upload/submit clear product details and sample photos in the booking form. Final approval is based on this information.
  • Security Deposit: No additional security deposit is taken for fashion stalls unless specifically mentioned in the event’s stall booking terms.

3. Food Stalls

  • Pure Monopoly: Food stalls are strictly curated on a monopoly basis. Once a primary food item is allotted to a vendor, the same item will not be allotted to another stall (e.g., only one stall for momos, one for burgers, one for pizza, etc.).
  • One Primary Food Item Per Stall: Each food stall is allowed a maximum of one primary food item/category as mentioned and approved in the booking form.
  • Revenue Sharing (No Rental): For food stalls operating with a security deposit, we follow a revenue sharing model of 75% : 25% (75% to the vendor and 25% to Kulture Media Group) on total eligible sales. Under this model, no separate stall rental is charged.
  • Menu Approval: The final menu must be submitted and approved in advance. Any additional items outside the approved menu require written permission from the management.
  • Gas & Stove Usage: Gas cylinders and stoves are strictly prohibited at the venue unless the management has allotted a special zone for cooking in writing. Cooking using gas or open flame is allowed only in such designated zones.
  • Hygiene & Food Safety: All food vendors must maintain proper hygiene, use fresh ingredients, and follow basic food safety practices throughout the event.

4. Product Details vs Actual Stall Items

All stall vendors (fashion and food) must strictly adhere to the products and categories declared in the booking form.

  • If the items displayed or sold at the venue are different from what was declared in the form, the management reserves the full right to:
    • Ask the vendor to immediately remove the undeclared items from display/sale, or
    • Shut down the stall and remove the vendor from the event premises.
  • In such cases, no refund will be processed and the security deposit (where applicable) may be partially or fully forfeited at the organiser’s discretion.

5. Security Deposit (Food Stalls Only)

Security Deposit: A refundable security deposit will be collected only from food stall vendors at the time of booking.

  • The deposit is linked to hygiene, waste management, equipment handling, adherence to approved menu items, and compliance with revenue sharing and payment rules.
  • Any damage to venue property, stalls, branding, or equipment will be recovered from the security deposit.
  • If the stall is found violating product/category rules, hygiene standards, or event guidelines, the organiser may deduct or fully forfeit the security deposit.

6. No-Show, Cancellation & Postponement

  • No-show: In case of a vendor no-show on event day, the security deposit (for food stalls) and stall charges (if any paid) become non-refundable.
  • If the event is cancelled by us: Participants will receive a full (100%) refund of stall rent (if applicable) and any food stall security deposit within 15 business working days.
  • If the event is postponed: Refunds will not be issued; participants may opt to transfer their booking to the new date. If the vendor cannot participate on the new date, standard cancellation rules will apply.
  • Force Majeure: If the event is cancelled due to circumstances beyond our control (natural calamity, government order, etc.), no refund will be provided. Management may, at its sole discretion, offer credits/adjustments for future events.

7. Stall Operations & Conduct

  • Vendors must adhere to reporting and setup timings communicated for each event.
  • All stalls must remain open and operational for the full event timings unless permitted by the organiser.
  • Subletting or sharing of stalls is strictly prohibited without prior written approval.
  • Music, sampling, and crowd engagement activities must not disturb neighbouring stalls and must follow sound limits set by the organiser.

8. Flea Market Food Stall Payments & Settlements

  • Payment Routing: For flea markets, all customer payments for food stalls are routed via Kulture Media Group. Direct cash/card/UPI payments from customers to food vendors are not permitted unless specifically approved in writing.
  • NFC Card System: Customers must purchase an NFC Card at the designated counter and load balance onto it before making purchases at food stalls.
  • POS at Food Stalls: At the respective food stalls, customers will pay by tapping their NFC card on the POS device assigned to that stall. Each tap records the sale under that vendor’s account.
  • Sales Tracking & Revenue Share: Food stall sales and collections are recorded digitally and reconciled by Kulture Media Group after the event. Applicable 75% : 25% revenue share (75% to vendor, 25% to Kulture Media Group) is applied on the reconciled sales as per agreed terms.
  • Settlement Timeline: All settlements to food stall vendors will be processed within 2 days after the event, after reconciliation of transactions, revenue share, security deposit adjustments (if any), and applicable charges.
  • Fashion Stalls at Flea Markets: Fashion stall vendors typically collect payments directly from customers (cash/UPI/card), as per the stall booking terms, and are not part of the NFC settlement system unless specifically informed in advance.

Note: Stall-specific terms, security deposit amounts (for food stalls), power requirements, and any additional conditions may vary by event and will be clearly communicated at the time of booking. Please retain copies of your booking confirmation, payment receipts, and any written approvals for your records.
